A Modern SaaS Invoicing Platform Built for Small Business

We designed and developed the Invoplex website and SaaS platform from the ground up, creating a simple and intuitive system for freelancers and small businesses to manage clients, create quotes and invoices, track payments and keep their finances organized.

Project Overview

Invoplex is a modern invoicing and client management platform created for freelancers, solopreneurs and small businesses that want a simpler way to manage their day-to-day financial admin.

Rather than trying to replace full accounting software, Invoplex focuses on the tasks small businesses regularly need: creating professional quotes, sending invoices, managing clients and understanding what has been paid and what is still outstanding.

The project involved much more than building a marketing website.

Kaira designed and developed both the public-facing Invoplex website and the underlying SaaS application that powers the platform.

The Challenge

Many invoicing and accounting platforms have grown into large, complicated systems filled with functionality that smaller businesses may never use.

The goal with Invoplex was to take the opposite approach.

The platform needed to make quoting, invoicing and client management feel fast and straightforward while still providing users with the information they need to understand their business finances.

The first phase therefore focused on identifying the core functionality needed for a useful MVP and creating a strong technical foundation that could support future development.

The platform also needed secure user accounts, reliable transactional emails, cloud-based data storage and an architecture that could scale as new functionality was introduced.

Our Approach

We designed and developed Invoplex as a modern SaaS application using a lightweight, scalable technology stack.

The application was built with Next.js and Tailwind CSS, with Supabase providing authentication, database infrastructure and secure user data management.

Vercel handles hosting and deployment, while Resend powers transactional emails sent by the platform.

The Phase 1 MVP includes:

  • User and business profile settings
  • Client profile management
  • Quote creation and management
  • Invoice creation and management
  • Converting quotes into invoices
  • Sending quotes and invoices to clients
  • Branded PDF invoices and quotes
  • Payment status tracking
  • Tracking paid, unpaid and overdue invoices
  • Revenue and payment overview data
  • Client billing history
  • Company and invoice customisation

The interface was intentionally kept clean and uncomplicated.

Rather than adding functionality simply because other accounting platforms have it, each feature was considered around the core workflow of running a small service business: create the client, send the quote, complete the work, send the invoice and track the payment.

Building the SaaS Platform

A major part of the project was developing the authenticated application behind Invoplex.

Users can create their own account and manage their business information from a private dashboard.

From there, they can maintain a database of clients, create quotes and invoices associated with those clients, send documents directly from the platform and monitor which payments have been received or are still outstanding.

Dashboard reporting provides a quick overview of revenue, unpaid invoices and business activity without forcing users through complicated financial reports.

The resulting platform provides the functionality of a traditional invoicing system while maintaining the simplicity that was central to the Invoplex concept.

The Technology

Invoplex was built using a modern cloud-based SaaS stack:

Next.js
The core application framework powering both the frontend and server-side functionality.

Tailwind CSS
Used to create a responsive and consistent user interface across the application.

Supabase
Provides secure authentication, database infrastructure and user data management.

Vercel
Hosts and deploys the application with a fast, scalable infrastructure designed around Next.js.

Resend
Handles transactional emails including communication generated through the platform.

Together, these technologies provide a strong foundation for continuing to expand Invoplex without needing to rebuild the underlying application as the product grows.

Phase 1 MVP

The initial project represents Phase 1 of Invoplex.

The objective was to build and launch a focused MVP containing the features necessary for users to manage the most important parts of their quoting, invoicing and payment workflow.

Keeping the initial product intentionally focused allowed us to create a usable SaaS platform while establishing the technical architecture needed for much larger functionality in future releases.

What’s Next

The next phase of Invoplex will continue expanding the platform based on the foundation created during the MVP.

Alongside improvements to the existing web application, development will focus on an expense tracking mobile app connected directly to Invoplex.

The mobile application will allow users to capture and manage business expenses while away from their desk, with expense data synchronised back into their Invoplex account.

This will expand Invoplex from a quoting and invoicing platform into a broader financial management tool while maintaining the same focus on simplicity and ease of use.

The Result

The result is a complete SaaS product with both a polished marketing website and a functional web application behind it.

Invoplex gives freelancers and small businesses a central place to manage their clients, quotes, invoices and incoming payments without the complexity typically associated with accounting software.

More importantly, the Phase 1 build provides a scalable technical foundation for the next stages of the product, including more advanced reporting, workflow improvements and the upcoming connected expense tracking mobile app.
